Booking Terms and Conditions

Booking

By completing a booking, you are agreeing to accept the listed terms and conditions for Rodney O'Callaghan Photography. The person who completes the booking does so on behalf of all the individuals included on it, so that all are bound by the booking conditions. You must be over 18 years to make a booking. Under 18's who wish to be party of a workshop/tour MUST be accompanied by a parent or guardian, who has to be a paid participant on the same workshop/tour.

We reserve the right to refuse participation in our workshops. Placing a deposit is not a guarantee of participation. Each participant shall behave in a civil & reasonable manner to other workshop participants and workshop leaders. We reserve the right to ask any participants who are not respectful to leave the workshop.

If a participant has previously cancelled a workshop with Rodney O'Callaghan Photography, future bookings made by this participant require payment in full at the time booking any new workshops. This is non refundable if participant cancels.

Cancellations & Refunds 

A non refundable deposit of the amount stated in the workshop description is required at the time of booking.

If a workshop description states there is a minimum number of participants required, payment of a deposit does not automatically imply that the workshop is going ahead. When the the minimum number of participants required to run the workshop is reached, we will contact you by email to confirm the workshop is taking place. It is not advisable to book flights until confirmation of the workshop going ahead is received.

If the workshop is cancelled due to insufficient numbers all deposits and money's paid (including Early Bird payments) will be returned. 

If due to illness or other unforseen circumstances the advertised tutor cannot attend, another tour leader will be provided. If this is not possible, then the workshop/tour will be cancelled. In the event of cancellation by us all moneys paid will be refunded. Rodney O'Callaghan Photography will not be liable for any other expenses i.e. flights, hotel bookings etc. incurred. 

Balance Payment

Balance Payment is due 60 days before the workshop starts. An email reminder will be issued at 74 days. A further reminder will be issued at 60 days. A final reminder is issued at 53 days. If no payment or communication is received within 48 hours of this reminder, we reserve the right to cancel the booking.

The balance payment is non-refundable.

If we do not have the required numbers to run a given workshop, we reserve the right to cancel up to 30 days in advance. Your deposit will be refunded, but you must have travel insurance to cover any other travel expenses that may be incurred.  

Travel Insurance

By booking a workshop you agree to obtain the appropriate travel insurance.

The insurance must cover the loss, expenses and damages arising from, including but not limited to, the the cancellation of the workshop, personal accident and injury, medical, loss of baggage, theft of camera equipment and personal money and belongings and flight cancellations and delays.

Flexibility/Right to change

We reserves the right to change the tour itinerary due to altered circumstances and weather conditions.

Flights

Flights are not included in the workshop fee. Participants are responsible for arranging their own travel. Rodney O'Callaghan will advise on detailed itinerary, meeting point, etc.

It is not advised to book flights until we confirm we have adequate numbers for a workshop to go ahead. In the event of the workshop not going ahead, we will refund deposits in full. However, we will not compensate flight costs.

Liability

We assume no liability for any act, error, omission, injury, loss, delay, mishap, or damage to persons or property arising from any cause during the course of a workshop or in transit.

We can accept no responsibility for losses or additional expenses due to delay or changes in the services to be provided.

We reserve the right to change our arrangements should conditions necessitate, or to cancel any aspect of a workshop due to exceptional circumstances. In the event that we deem it necessary to cancel a workshop we will provide a full refund which the participants acknowledge as full and final settlement.

There is always an element of risk in any outdoor activity including, but not limited to, bodily injury, death, illness, loss or damage to personal property. By joining a workshop participants acknowledge that they are aware of these risks and are physically capable of safely taking part in the workshop. Further, they release the guide & Rodney O'Callaghan Photography from any liability. We will assume no liability for injury, illness or loss of personal property or expenses associated with participation in a workshop.

Rodney O'Callaghan Photography does not accept liability for any loss or additional expense caused by delay or interruption to travel services through weather conditions (flight/ferry cancellations) civil disturbance, industrial action, viral pandemic, strikes, wars, floods, or sickness. Such losses or additional expenses are the responsibility of the participant.

It is the responsibility of the participant to research and complete any necessary entry requirements to the country visited, regarding Covid Testing, Vaccinations, Passenger Locator Forms or any Visa’s Due.

All information and advice given by us on visas, vaccinations, climate, clothing, baggage, special equipment etc is given in good faith.

Pick up

If a participant misses the scheduled pick up for a workshop. The participant is responsible for making their own arrangements to travel to the workshop base, and will be liable for any costs incurred. In order to avoid this circumstance, it is advisable to allow sufficient time to travel. This may require arriving the day before. Any accommodation required outside of what is listed in the workshop details is at the expense of the participant.

Credit note

In the event you have been issued a credit note, this may only be used when a new booking is made. Your credit amount will be deducted from your balance payment on the new booking. Credit notes cannot be used as deposits or towards Early Bird payments. Credit notes are non transferrable and can only be used by the person they are issued to.

Black Friday Discount Code/Sale Codes

Discount Codes are only accepted on new bookings. Discount/Sale Codes cannot be redeemed against balances outstanding on previously booked workshops/tours. Discount/Sale Codes are not available for use with other offers for eg. Early Bird pricing. 

When availing of a discount code payment of workshop balance is due according to the terms of the promotion ie by a date given etc. Payment of the balance 60 days prior to the workshop start date no longer applies.

Equipment

You will have to supply your own camera equipment. There will be no provisions to borrow equipment from the tour operators (except where advertised e.g. filter kits). Please bring you camera, tripod, and filters you wish to use and importantly either lots of fully charged batteries or a battery charger to re-charge them at night. You will want enough batteries to last a whole day of shooting between charges. If it’s raining and you choose to still shoot, bring some sort of protection for you camera / lens. It is a good idea even if it isn’t raining at places like the waterfalls as there will be considerable spray in the air. 
 

We reserve the right to take photographs or videos during the operation of any workshop or part thereof and to use the resulting photography, videos, or recordings for promotional or commercial use. We must be notified if you do not wish to be included in promotional video and images .
